Unique Personnel is seeking a highly organized and detail-oriented professional to join our team in Pretoria. If you have a background in administration and are eager to work in the mining sector, this could be the perfect opportunity for you.

Key Responsibilities

Telephones/Communications:
  • Answer and direct calls to the appropriate personnel.
  • Respond to inquiries and take messages as needed.
  • Assist with the maintenance of telephones and telephone lines (NEC).
  • Update employee lists regularly.
  • Manage all contact printers and copiers, including logging calls, repairs, and monthly readings.
  • Order cartridges as needed.

Reception:

  • Maintain the reception area, ensuring it is welcoming and orderly.
  • Meet and greet visitors, providing a warm and professional welcome.
  • Assist with catering arrangements for guests and meetings.
  • Sort and distribute incoming mail efficiently.

Production Administration:

  • Create and file job cards and registers for production orders and maintenance.
  • Design new sticker templates for production.
  • Issue shipping tags according to required standards.
  • Provide overflow support for the production manager and sales P.A.
  • Request quotes as needed.
  • Complete and file new credit applications when required.

General Administration:

  • Perform daily filing of release notes and collection slips.
  • Ensure the safe keeping of necessary documentation.
  • Open new files, ensuring proper labeling and covering.
  • Handle printing, copying, scanning, and laminating tasks as needed.
  • Assist with manual orders and other orders as required.
  • Send Tshwane meter readings.
  • Support the accounts department with affidavits and document sign-offs.
  • Assist HR with document handling and notice board updates.
  • Distribute security books as necessary.
  • Manage office supplies, including ordering, stock taking, and issuing.
  • Carry out any ad-hoc duties delegated by management and directors.

Candidate Requirements

  • Education: Senior Certificate.
  • Skills:
  • Advanced proficiency in Excel and Word, with intermediate skills in PowerPoint and Internet usage.
  • Strong command of both English and Afrikaans (reading, writing, speaking).
  • Excellent communication skills.
  • Experience:
  • At least 5 years in a similar administrative role.
  • Experience in managing multiple tasks and meeting deadlines.
  • Attributes:
  • Punctual, reliable, and trustworthy.
  • Ability to work under pressure and maintain a high level of accuracy.
  • Maturity to work effectively and harmoniously within a diverse team.
